Client Intake and Payment Information
Clients are required to complete an online intake form before booking an appointment. This form includes necessary personal information and payment details, typically a credit or debit card, which will be securely stored and charged through the clinic’s system.
Appointment Booking and Confirmation
A massage appointment will be scheduled and confirmed only after the intake form is completed. The selected payment method guarantees the service charge.
Online Booking: The clinic’s online booking system will be available soon. Clients who have completed their intake form will be eligible to book, reschedule, or cancel their appointments through the online platform. The same policies outlined below apply to online bookings.

Clients will receive appointment reminders via email and text.
Cancellation & No-Show Policy
Please note that when you book a massage therapy session, your therapist blocks off one full hour of their schedule to dedicate that time solely to you.
We require a minimum of 24 hours’ notice to cancel or reschedule an appointment.
Appointments can be rescheduled or canceled without penalty up to 24 hours before the scheduled time.
If less than 24 hours’ notice is given, or in the case of a no-show, the full amount of the scheduled treatment will be charged using the client’s approved payment method. No exceptions.
This policy is in place out of respect for your therapist’s time and the needs of other clients who may be waiting for an opening.
Please note that we are unable to bill insurance companies for late cancellations or no-shows. As a result, any missed or late-canceled appointments will need to be covered by the client and paid out-of-pocket.
Payment and Direct Billing to Insurance
Payment Requirements
Payment for massage therapy services is required upon arrival at the clinic.
For appointments scheduled after regular clinic staff hours, payment will be processed in advance, and a receipt will be emailed to the client prior to their appointment. This ensures that the massage therapist can remain focused on treatment and stay on schedule without handling billing at the time of service.
Direct Billing to Insurance
Insurance Billing & Direct Billing
At Priscilla Kerr Wellness, we are pleased to offer direct billing for massage Treatments through select extended health insurance providers.
To access this service, patients must complete a Direct Billing Consent Form at the front desk prior to their first appointment.
Important Notes About Direct Billing:

Direct billing is not guaranteed. If your claim is denied or only partially covered, the full cost of the treatment is the patient’s responsibility at the time of service.

Missed appointments or late cancellations (less than 24 hours’ notice) are not eligible for insurance coverage and must be paid out-of-pocket.

All services provided—consultations, assessments, and treatments—are non-refundable, regardless of insurance reimbursement status.

Direct billing is available only during regular business hours, from 8:30 a.m. to 4:30 p.m., Monday to Friday.

After-Hours Appointments:
If you receive treatment outside of our regular business hours (Monday to Friday, 8:30 a.m. to 4:30 p.m.), direct billing may not be available at the time of your visit. This is because our floating staff who cover later shifts are not fully trained to handle more complex or varied direct billing transactions. In these cases, full payment is required at the time of service, and our morning staff will gladly assist you the next business day to review your insurance details and submit your direct billing if applicable.
