To ensure fairness, transparency, and high-quality care for all patients, the following policies apply to appointments booked at Priscilla Kerr Wellness, particularly for consultations and treatments with Dr. Priscilla Kerr, Dr. TCM, R.Ac.
By booking an appointment, patients acknowledge and agree to all clinic policies outlined below.
New Patient Consultation Booking Guidelines (Dr. Kerr)
To help us prepare properly for your visit and offer the best possible care, we kindly ask new patients booking a consultation with Dr. Priscilla Kerr to follow the guidelines below.
Step 1: Complete Your Intake Forms
After booking, you will receive intake forms by email.
Please complete all forms fully, including:

Consent documents

Required signatures
These forms help us understand your health needs and plan your care.
Step 2: Provide Payment Information

A valid credit card is required and is kept securely on file (encrypted).

Intake forms are considered complete once payment information is provided.
Step 3: 24-Hour Completion Window
We kindly ask that all intake forms be completed within 24 hours of receiving them.
This allows us to reserve your appointment time and prepare for your visit.
If forms are not completed within this timeframe:

The appointment will be released

We’ll be happy to rebook once everything is completed
Step 4: Consultation Fee

Once intake forms are completed and approved, a $120 consultation fee is charged to the credit card on file.

This fee covers the full cost of the consultation and confirms your appointment.

E-transfers and cash are not accepted for holding consultation appointments.
Insurance & Direct Billing

Insurance and direct billing options are discussed in person at your appointment.

Once coverage is confirmed, any remaining balance will be adjusted accordingly.

Patients are responsible for any portion not covered by insurance.
Cancellations & Rescheduling

We require at least 24 hours’ notice to cancel or reschedule an appointment.

Appointments cancelled with less than 24 hours’ notice will result in the consultation fee being forfeited.

The consultation fee is non-refundable once the appointment is held.
Returning After a Long Break
If it has been more than two years since your last visit with Dr. Kerr, a new consultation is required to ensure your care is safe and up to date.
Returning Patients (Over 2 Years)

Patients who have not seen Dr. Kerr within the past two (2) years are required to book a new consultation.

A $120 deposit is required to rebook, as a comprehensive update of medical history and intake documentation is necessary.

The same 24-hour cancellation policy applies.

Missed appointments or late cancellations will result in loss of the deposit.

Insurance Billing & Direct Billing
At Priscilla Kerr Wellness, we are pleased to offer direct billing for acupuncture treatments through select extended health insurance providers.
To access this service, patients must complete a Direct Billing Consent Form at the front desk prior to their first appointment.

Important Information About Direct Billing

Direct billing is a courtesy service, not a guarantee of coverage.
If a claim is declined or partially covered, the remaining balance is the patient’s responsibility at the time of service. -
Missed appointments or late cancellations (less than 24 hours’ notice) are not eligible for insurance coverage and must be paid out-of-pocket.

All services provided—including consultations, assessments, and treatments—are non-refundable, regardless of insurance reimbursement.

Direct billing can only be submitted after your treatment has been completed, not before the appointment.
Using More Than One Insurance Provider
We understand that some patients may have more than one insurance plan available (for example, through a partner or spouse).
To ensure accuracy and efficiency:

We are only able to direct bill one insurance provider per visit.

Processing multiple insurance claims for the same appointment significantly increases complexity and time, and may lead to errors—especially in a busy, multi-practitioner clinic environment.

If you have secondary coverage, we will gladly provide a detailed receipt so you can submit the claim to your additional insurance provider independently.
For each visit, please let our staff know which insurance provider you would like us to use as your primary plan.
Thank you for your cooperation—this helps us avoid delays and ensures smooth service for all patients.
Direct Billing Hours

Direct billing is available during regular business hours:
Monday to Friday, 8:30 a.m. – 4:00 p.m.
After-Hours Appointments
If your appointment takes place outside of regular business hours:

Direct billing may not be available at the time of your visit.

Full payment is required at the appointment.

Our daytime staff will be happy to assist the next business day with reviewing insurance details and submitting direct billing if applicable.
Packages & Prepaid Credit – Direct Billing Policy
We offer discounted rates for patients who purchase treatment packages or preload credit (typically 10%–20% savings).
Please note:

Discounted packages and prepaid credit are not eligible for direct billing.

A detailed receipt will be provided after each visit for you to submit to your insurance provider for reimbursement.

Punctuality & Late Arrivals

Please arrive at least 10 minutes early for your session.
Late arrivals may be rescheduled only if availability permits in the same day of the appointment. If we are fully booked and cannot accommodate your late arrival, your appointment will be considered forfeited and a no-show fee will apply.We appreciate your understanding and cooperation in helping us maintain a smooth and respectful schedule for all patients.
Cancellations
We require at least 24 hours’ notice for all cancellations or appointment changes — no exceptions.

Late cancellations for a first assessment/consultation will be charged the full session price.

Late cancellations for acupuncture sessions will incur a $50 fee.
Weekend & Holiday Cancellations:
If your appointment falls on or after a weekend or holiday, cancellations must be made by email only to:

Weather-Related Cancellations

If staff can reach the clinic, patients are expected to do the same.

What to Wear & What We Expect
For your comfort and ease of treatment, please wear comfortable, loose-fitting clothing. Avoid:

If you are feeling unwell and are actively coughing, please contact us at least 24 hours in advance to reschedule your appointment. Acupuncture & Taxes
Why Acupuncture Is Not Regulated in Manitoba
Acupuncture and Traditional Chinese Medicine (TCM) are not yet regulated nationwide in Canada. At this time, only five provinces have established regulatory bodies to protect the public by ensuring safe, competent, and ethical care from registered TCM professionals. These provinces are:

British Columbia and Ontario – Regulate both TCM Practitioners and Acupuncturists

Alberta, Quebec, and Newfoundland and Labrador – Regulate Acupuncturists only
Each province sets its own standards and protected titles. For example, in British Columbia, the titles and training requirements include:

Registered Acupuncturist (R.Ac.) – 3-year acupuncture-only program
-
Registered TCM Practitioner (R.TCM.P) – 4-year program combining acupuncture and herbology (with restrictions)

Doctor of TCM (Dr.TCM) – 5-year program combining acupuncture and herbology (without restrictions)
Manitoba’s Status
In Manitoba, acupuncture and TCM are not currently regulated, which means there is no official licensing system in place. As a result:

Patients cannot claim acupuncture treatments for tax deductions

There is no provincial oversight or formal registry for qualified practitioners
To apply for professional regulation, the acupuncture community in Manitoba would need to raise over $500,000 to support the application process and infrastructure—a significant financial and logistical challenge.

Public support is crucial in pushing for the regulation of safe, high-quality acupuncture services in our province.
